AI fluency for PR managers: draft a bounded holding statement
Practice a fictional service-delay statement with a verified-fact sheet, unanswered questions and a correction route.
A public relations manager can use AI to organize a holding statement while keeping confirmed information separate from speculation. This original fictional service-delay exercise focuses on external questions, approval scope and correction handling. It is not legal advice, crisis certification or a substitute for the responsible specialists in a real incident.
Freeze the facts available for the first response
A holding statement should reflect the evidence actually available at that moment.
The fictional fact sheet says a scheduled online workshop started twenty minutes late, registered attendees received a revised joining message and the team is reviewing the cause. It does not establish a technical cause, the number of affected attendees or compensation arrangements. Put those gaps in the briefing notes before drafting.
A reporter asks whether a platform failure caused the delay. The question is not evidence for that explanation. Ask AI to draft a response from the fact sheet only, then mark every assertion that goes beyond it.
Answer without inventing reassurance
A clear boundary can be useful even when a full explanation is unavailable.
A supported draft can acknowledge the delayed start, describe the revised joining message and state that the cause is under review. It should not claim the problem cannot recur or that everyone successfully joined. The packet does not establish either point.
Make the language direct rather than evasive. Distinguish not yet confirmed from not applicable. If an update time has not been authorized, do not invent one to make the statement sound complete. Identify who must approve any commitment to further communication.
Prepare a question-and-answer boundary sheet
Give the spokesperson a consistent way to handle predictable follow-ups.
Create entries for cause, attendance impact and next steps. Each entry should contain the supported answer, its evidence and the unresolved portion. This helps prevent an assistant-generated list of likely questions from becoming a list of fabricated answers.
Include a reminder to avoid identifying individuals or attributing fault without an approved basis. The exercise uses no actual personal information. In a real matter, the responsible legal, privacy and operational owners would need to define the applicable disclosure and review requirements.
Update the statement when evidence changes
Corrections should be explicit and limited to what the new evidence establishes.
Introduce a fictional operations confirmation that an incorrect joining link was sent to one registration group. Revise the cause statement to describe that confirmed issue. Do not extend it into claims about all registrations or underlying software reliability. Keep the scope of the confirmation attached to the wording.
Check whether the new statement contradicts anything previously released. If the earlier draft had speculated about a platform failure, a correction would be needed rather than a silent replacement. The exercise should make that consequence visible during review.
Review the release packet
A publication-ready packet needs more than an elegant paragraph.
Deliver the statement, fact sheet, question boundaries, approval owner and update record. Ask a reviewer to trace the joining-link assertion to the new confirmation. Check that unanswered questions remain clearly unanswered and that no draft promises compensation or timing outside its authority.
Evaluate factual discipline and correction handling in this bounded exercise. Do not infer general PR effectiveness from tone or confidence.
