AI-Assisted Accounting Work: Evidence, Review, and Boundaries

AI can support accounting work such as document classification, variance explanation, memo preparation, and evidence organization. The central control question is not whether the output reads well. It is whether amounts, classifications, assumptions, sources, and approvals remain traceable through the organization’s accounting and review process. Sector rules and professional responsibilities.

AI can support accounting work such as document classification, variance explanation, memo preparation, and evidence organization. The central control question is not whether the output reads well. It is whether amounts, classifications, assumptions, sources, and approvals remain traceable through the organization’s accounting and review process. Sector rules and professional responsibilities require current qualified interpretation.

Select tasks by evidence structure

Start with bounded tasks whose inputs and expected outputs are known. Examples include matching invoice fields to records, drafting a variance commentary from approved data, organizing support for an estimate, or preparing questions about an exception. Record the system of record, period, entity, account, currency, materiality context, and reviewer.

The PCAOB explains that accounting estimates may involve uncertainty and that auditors need sufficient appropriate evidence and professional skepticism (accounting estimates resource). NIST’s AI RMF Core emphasizes context, data, testing, human oversight, and documented limits for AI systems (AI RMF Core). These sources do not establish that a specific AI workflow meets accounting or audit requirements.

Preserve a calculation and provenance trail

Every generated statement should point to its source record or calculation. Keep original values, transformations, formula, period, and reviewer-visible exceptions. Do not allow the model to supply missing account codes, dates, counterparties, or policy conclusions.

Separate extraction from judgment. “Invoice date is 14 June” can be checked against a document. “Expense belongs in the current period” may depend on receipt, service date, policy, and professional judgment.

Worked variance commentary

Suppose a synthetic ledger shows travel expense 18% above plan for one month. The model drafts: “Travel increased because the sales team attended a major conference.” The ledger proves the variance, but not its cause.

The evidence artifact instead contains:

The final commentary says the variance is observed and identifies the supported cluster, while leaving the remaining cause unresolved. It does not fabricate a narrative from category labels.

  • Actual, plan, variance amount, and formula tied to the approved report.
  • Transaction clusters by date and cost center.
  • A possible conference explanation linked to three coded entries.
  • Unclassified entries that prevent a complete causal conclusion.
  • Questions for the cost-center owner and a reviewer sign-off field.

Review estimates and exceptions carefully

For an estimate, record method, data, assumptions, alternatives, sensitivity, owner, and approval. Ask AI to compare the memo with supplied evidence and identify contradictions. Do not ask it to decide materiality, appropriate accounting treatment, or audit sufficiency without the organization’s qualified process.

For exceptions, retain both positive and negative evidence. A matched document does not prove authorization, occurrence, completeness, or correct period by itself. The relevant assertions depend on the task and framework.

Separate model change from accounting change

Version the model, prompt, extraction rules, source schema, and review procedure. When output changes, determine whether the cause was new financial evidence, a changed accounting judgment, an updated model, or a workflow modification. Reperform a stable test set after material changes and retain exceptions. A model update can alter classification behavior even when the ledger is unchanged. Conversely, a changed conclusion may be appropriate when a qualified reviewer receives new evidence. The change record keeps those explanations distinct.

Accounting workflow checklist

This approach supports reviewable accounting work. It does not claim compliance, audit assurance, fewer errors, or improved financial outcomes without direct operating evidence.

Preserve the close calendar, evidence owner, unresolved items, and the exact version reviewed. A later correction should update the affected calculation and commentary while retaining the earlier record and approval trail.

  • Inputs come from approved systems and the period and entity are fixed.
  • Amounts, formulas, classifications, and narrative claims are traceable.
  • Extraction, calculation, interpretation, and approval remain separate.
  • Missing support and contradictory records are visible.
  • Sensitive financial data stays in approved environments.
  • Qualified accountants or auditors make framework-specific judgments.
  • Monitoring covers corrections, overrides, exceptions, and model or process changes.
