AI-assisted revenue and proposal deliverables

AI can help draft account briefs, qualification notes, proposal outlines, compliance matrices, response sections, and review summaries. The controlling artifact should be a response evidence ledger that connects every commitment and material claim to the request, an approved source, an accountable owner, and a final disposition.

AI can help draft account briefs, qualification notes, proposal outlines, compliance matrices, response sections, and review summaries. The controlling artifact should be a response evidence ledger that connects every commitment and material claim to the request, an approved source, an accountable owner, and a final disposition.

Start with the governing request

Identify the exact request, amendment, clarification, deadline, submission rule, and evaluation structure before drafting. Separate mandatory instructions from background context and inferred buyer preferences. If two documents conflict, log the conflict and route it to the authorised owner rather than allowing an AI system to choose which instruction governs.

The Federal Acquisition Regulation's uniform contract format separates solicitation and contract information into defined parts and sections (FAR 15.204-1). A commercial proposal may use a different structure, but the principle is useful: preserve the buyer's authoritative organisation and do not blend instructions, representations, pricing, and evidence into one undifferentiated draft.

Build the response evidence ledger

Create one row for each requirement or decision-critical claim. Record the source location, response owner, proposed answer, proof artifact, approval status, dependencies, and unresolved issue. Add a field for the AI transformation so reviewers can see whether the system summarized, compared, drafted, or inferred.

Designate one authoritative response record. Slides, documents, spreadsheets, and tickets can be working views, but they should not become competing sources of truth. Record when each derived view was synchronized and which changes require re-review.

Control commitments and representations

AI-generated fluency can make an unsupported commitment sound settled. Label delivery dates, staffing, certifications, past performance, security statements, pricing assumptions, and contractual exceptions as controlled fields. Each needs an approved source and named owner. If evidence is missing, use a question, qualification, or hold state instead of inventing a defensible-sounding answer.

The FAR describes proposal evaluation against the factors and subfactors in the solicitation and calls for documentation of the relative strengths, deficiencies, significant weaknesses, and risks supporting source selection (FAR 15.305). That federal process is not a universal commercial rule, but it supports keeping the proposal aligned to stated criteria and preserving evidence for review.

Worked artifact: a synthetic compliance ledger

Imagine a synthetic request for a citizen-service portal. The ledger contains 38 requirements. AI extracts them and drafts an initial mapping. A reviewer finds that two security requirements were merged, one accessibility obligation was classified as optional, and a proposed 12-week delivery statement has no approved plan.

The team splits the security rows, restores the accessibility item as mandatory, and places the delivery statement on hold. The solution owner links an approved architecture note; the delivery lead supplies a range with dependencies; legal reviews one contractual exception. The final response includes only cleared statements. The ledger retains the rejected versions and reasons without presenting them to the buyer.

Verify before submission

Run four independent passes: requirement coverage, source and claim traceability, commercial and contractual ownership, and final-document consistency. Recalculate figures from the approved pricing model. Check every cross-reference, attachment, amendment, and page limit. Compare the submitted file with the cleared ledger rather than assuming the export reflects the latest review.

Make the passes separable in the evidence record. The coverage reviewer should not clear their own unsupported commitment simply because it appears in the correct section. The pricing reviewer checks units, currencies, periods, formulas, and the approved commercial source. The final-production reviewer opens the actual submission package, tests navigation and attachments, and confirms that tracked comments, hidden sheets, or draft markings are not exposed. Record defects and their resolution against the affected ledger row.

Reopen a row when the request changes, an owner withdraws approval, evidence expires, a dependency moves, or a new contradiction appears. Preserve an explicit no-bid or hold route when evidence cannot support the response.

Keep the claims bounded

This ledger can improve traceability and review discipline. It does not establish legal compliance, predict an award, prove proposal quality, or validate a win-rate claim. Two Prune can provide task-bounded assessment evidence in a synthetic work simulation. It does not review live bids, certify submissions, or make employment decisions.
